Privacy Policy

We take your privacy seriously. This policy explains what information we collect, how we use it, and your rights under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).


1. Who We Are

Agent Tradie is an automated accounts receivable (invoice chasing) service for Australian tradespeople and small businesses. We are operated by EJM Ventures Pty Ltd, ABN 80 696 343 889, based in New South Wales, Australia.

2. What Information We Collect

2.1 From You (Our Clients)

When you sign up or use Agent Tradie, we collect:

  • Business and contact details: Business name, owner name, email address, phone number, trade type, state.
  • Billing information: Payment is processed by Stripe. We do not store your full card details - Stripe handles that. We retain a record of your Stripe customer ID and subscription status.
  • Xero account data: With your authorisation, we access your Xero account to read overdue invoice data (invoice numbers, amounts, due dates, and the contact details of your debtors). We have read-only access - we cannot modify your Xero data.
  • Gmail access: With your authorisation, we use Gmail's send-on-behalf feature to send payment reminders from your email address. We cannot read your inbox and do not store the content of emails received.

2.2 From Your Customers (Debtors)

In the course of providing the service, we process information about your debtors, including names, email addresses, phone numbers (as stored in your Xero), and invoice details. We process this data on your behalf as a service provider. You, as the business, remain responsible for having appropriate grounds to contact your debtors.

2.3 Automatically Collected Data

When you visit agenttradie.com.au, we may collect standard web analytics data (page views, device type) through third-party analytics tools. This does not include personally identifiable information.

3. Why We Collect This Information

We use the information we collect to:

  • Provide and operate the Agent Tradie service (automated invoice reminders)
  • Send you weekly summary reports
  • Process your subscription and issue tax invoices
  • Contact you about your account, service updates, or support issues
  • Comply with our legal obligations
  • Improve our service

4. How We Store and Protect Your Data

Your data is stored in Google Sheets (client registry and action logs), n8n (workflow automation), and Stripe (billing, PCI-DSS compliant). We apply reasonable technical and organisational measures to protect your data from unauthorised access, loss, or disclosure. Access is limited to authorised personnel only.

5. Do We Share Your Data?

No. We do not sell, rent, or share your personal information or your customers' personal information with third parties for marketing or commercial purposes.

We may share data in the following limited circumstances:

  • Service providers: Google (Sheets, Gmail), Twilio (SMS), Stripe (payments), n8n (workflow automation). These are processors acting under our instruction.
  • Legal requirements: If required by law, court order, or regulatory authority.
  • Business transfers: If Agent Tradie is sold or merged, data may transfer to the new owner under equivalent protections.

6. SMS Communications

We send automated SMS reminders to your debtors via Twilio on your behalf. Every SMS includes an opt-out instruction ("Reply STOP to opt out"). When a recipient opts out, their number is added to a suppression list, no further SMS or email is sent, and you are notified.

7. Your Rights

Under the Australian Privacy Principles, you have the right to:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request we correct inaccurate information
  • Deletion: Request we delete your data (subject to legal retention requirements)
  • Complaints: Lodge a complaint with us about how we've handled your information

To exercise any of these rights, contact us at ed@agenttradie.com.au. We'll respond within 30 days.

8. Data Retention

We retain your data for as long as you're a client, and for 12 months after cancellation to handle any final queries or disputes. After that, your data is deleted from our systems.

9. Third-Party Links

Our website may contain links to third-party sites. We are not responsible for the privacy practices of those sites and encourage you to review their policies separately.

10. Complaints

If you're not satisfied with how we've handled your personal information, you can:

  • Contact us first at ed@agenttradie.com.au
  • If unresolved, lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.

11. Changes to This Policy

We may update this policy from time to time. The latest version will always be available at agenttradie.com.au/privacy-policy.html. If we make material changes, we'll notify current clients by email.
